TEKTONIQ Ltd (“we”, “us” or “our”) is committed to protecting the privacy of our clients, candidates, users of our website and those who we come into contact with. We will ensure that the information we receive, is submitted or collected via various channels is used for the sole purpose of recruitment which is set out in this policy.
Through this Privacy Policy we will inform you about the type or personal data we collect, the purposes for which we use the data and the ways in which the data is handled as we aim to satisfy the obligation of transparency under the EU General Data Protection Regulation (GDPR) and laws implementing GDPR.
The controller of personal data for the purpose of this Privacy Policy is TEKTONIQ Ltd.

The Information We Collect
We collect your personal details including but not limited to your name and contact details including phone numbers and email addresses and any other relevant information that is included on your Curriculum Vitae or Resume. We may receive your CV or Resume along with personal information electronically i.e. through a direct application on our website, through an application via a job advertisement that we have created or via a third-party job board. We may collect further personal information of which may be obtained for you directly or from third parties

How We Use Your Personal Information
We will hold, use and disclose personal information for our legitimate business purposes including:
• Providing a service to you
• To extend a working relationship with you and to allow you to apply for specific jobs and have job (in the cv section below we outline additional uses and disclosures)
• Match your details with suitable job vacancies and to send your personal information to client in order to apply
• To disclose future job opportunities by retaining your information other than the specific role you we contacted about originally
• Full fill contract obligations with our clients
We may also process in accordance with local regulations certain sensitive personal data known as specialist category i.e. information about religion, ethnic religion or health.

Under the GDPR the main reasons that we rely upon in order to process personal information of clients and candidates include:
• Necessary for entering into or meeting a contract
• Necessary for compliance with a legal obligation 
• Necessary for the purposes of legitimate interested

How We Share Your Personal Information
We may need to share your personal information with other parties of which is outlined below and the reasons:
➢ Clients – we will disclose your personal information to clients who have vacancies for jobs in which you are suitable
➢ Trusted Third Parties – depending on client’s recruitment processes we may need to share your personal information where necessary to the following employment reference checking, qualification checking, criminal reference checking, psychometric evaluation or skills tests
We require the minimum standards of confidentiality and data protection from the third parties we work with.

Regulatory and Law Enforcement Agencies
If we receive a request from a regulatory body or law enforcement agency and if permitted under GDPR and other laws, we may disclose personal information to them.

New Business Owners
If we or our business merges with or is acquired buy another business or company, we will share your personal information with the new owners of the business or company and their employees.

How Long We Hold Your Information
The length of time that we will store your person information on our customer relationship management will depend on the services we perform and for how long you require these. Often, we support candidates throughout their careers by finding suitable jobs meaning we retain candidate personal data as an ongoing purpose. We do maintain our customer relationship database and conduct regular data cleansing exercises to ensure that the data we hold is accurate and we are not holding it for too long in line with GDPR.
Our terms and conditions state that our clients should retain candidate data such as cv’s or personal contact information for the purposes of the specific role that has been applied for, as controllers of your data they should inform you if they plan to retain your cv on file in order to notify you about potential future roles or otherwise what purpose they are holding or using your data.

Your Right on Information That We Hold
You have certain rights in relation to personal information that we hold about you of which are set out below:
• Right of Access – You have the right at any time to ask us for a copy of the personal information that we hold concerning you.
• Right of Correction of Completion – If personal information that we hold about you is not accurate or out of data you have a right to have the data rectified, updated or completed
• Right of Erasure – You have the right to request that personal information that we hold is erased
• Right to Restrict – You have the right to object to our processing of your personal information restrict our use of your personal information

Right of Data Portability
You have the right to receive any personal information that we hold about you and you can ask us to provide that information to you directly or via a third-party organisation. We are happy to provide information on request but cannot guarantee technical compatibility with a third parties systems. Most of the above rights are subject to limitations and expectations and we will provide reasoning if we aren’t able to meet these requests.

Consent
To the extent that we are processing your personal information based on your consent you have the right to withdraw consent when you wish and you can do this by contacting us on consent@tektoniq.co.uk.

Curriculum Vitae / Resume
We provide you with the option of submitting your cv or resume via our website or by providing your cv or resume to one of our employees electronically. Your cv or resume will be stored in our customer relationship management system and will be accessible to all employees of TEKTONIQ Ltd.

Complaints
If you are unhappy about our use of your personal information you can contact us on dataprotection@tektoniq.co.uk and you are also entitled to lodge a complaint with the UK Information Commissioners Office.

Internet-based transfers
As the internet is a global environment, using it to collect and process personal data necessarily involves the transmission of data internationality. That transmission of data can sometime not always be secure so whilst we will do our best to protect your personal data, we cannot guarantee that when data is transmitted via third party networks it is secure and therefore is at your own risk.

This privacy policy can be changed at any time by TEKTONIQ Ltd.
